Kitchen Prep and Par Level Glossary

Plain definitions for the terms that show up on prep sheets, in walk-in counts, and in conversations about kitchen production.

86
Kitchen shorthand meaning an item is no longer available, either because it sold out or was pulled from the menu. Frequent 86s on prepped items are a classic sign of under prep or a par set too low for that day.
Batch size
The quantity a recipe produces when made once, or the practical unit in which an item is prepped. Batch rules decide whether a prep gap is rounded up to a full batch, scaled down, or split.
Carryover
Prepped product left from a previous day that is still within its shelf life and counted toward the current on-hand quantity. Carryover reduces what needs to be prepped today.
Closing count
An on-hand count taken at the end of service, after the last ticket, when quantities are stable. It is usually the most accurate input for the next day's prep list.
Date label
A label on a container showing what the item is and when it was made, and often when it should be discarded. Date labels support rotation, food safety, and accurate counts of partial containers.
Day-of-week par
A par level that changes by day type, such as a lower target for slow weekdays and a higher one for weekend service. It is the simplest way to stop over prepping on slow days and running out on busy ones.
FIFO
First in, first out. The rotation practice of using older product before newer product, which depends on date labels and on storing new batches behind existing ones.
Forecast
An estimate of expected sales or covers for a coming day or week, based on history, reservations, events, and weather. Forecasts inform pars but do not replace them.
Hotel pan
A standard rectangular stainless steel pan used for cooking, holding, and storing food, available in full, half, third, sixth, and ninth sizes. Many kitchens count prep in pan units.
Lead time
The total time an item takes from start to ready, including cooking, cooling, and resting. Long lead time items must start first in the prep sequence.
Line check
A walk through each station before service to confirm that prepped items are present, labeled, at the right quantity, and at safe temperature. It catches prep misses before guests do.
Mise en place
A French term meaning everything in its place. It refers to having all ingredients prepped, portioned, and organized before service or before cooking a recipe.
On-hand count
The quantity of a prepped item physically present at the time of counting, across all storage locations. It is subtracted from the par to calculate the prep gap.
Par level
The target quantity of a prepped item to have on hand at a defined point, typically the start of service. It reflects expected usage, a safety cushion, and the item's shelf life.
Prep gap
The difference between an item's par level and its on-hand count. A positive gap is the quantity to prep; a zero or negative gap means no prep is needed today.
Prep list
The set of items, quantities, and assignments to be prepped for a given day or shift, usually generated from pars and counts. It is the working plan the prep team executes.
Prep sheet
The document or screen on which pars, counts, and prep quantities are recorded. Some kitchens use the terms prep sheet and prep list interchangeably.
Pull sheet
A list of frozen or bulk items that must be pulled from the freezer or dry storage ahead of time so they are thawed or ready for prep. Pull sheets often run a day or more ahead of the prep list.
Recipe yield
The amount a recipe actually produces when made as written, measured in the same unit used for counting. Real yields often differ from the number printed on the recipe card.
Safety stock
The cushion built into a par above expected usage to absorb a busier-than-expected service or a short batch. Larger cushions suit long-shelf-life items; short-shelf-life items need smaller ones.
Shelf life
How long a prepped item stays safe and at acceptable quality under proper storage. Shelf life caps how high a par can reasonably be set.
Sixth pan
A hotel pan one sixth the size of a full pan, common for holding sauces, garnishes, and small prepped items on the line. It is a frequent counting unit for line prep.
Station
A defined area of the kitchen with its own equipment, menu items, and typically its own cook, such as grill, saute, garde manger, or pastry. Prep tasks are often assigned by station.
Sub-recipe
A prepared component used inside other recipes, such as a stock, a spice blend, or a compound butter. Sub-recipes need their own pars because several menu items depend on them.
Trim yield
The usable portion of a raw ingredient after trimming, peeling, or portioning, expressed as a fraction of the purchased weight. Trim yield determines how much raw product a prep quantity requires.
Unit of measure
The unit in which an item is counted and prepped, such as quarts, pounds, each, or pans. Pars, counts, and batch sizes should share the same unit to avoid conversion errors.
Usage rate
How much of an item is consumed over a period, such as per service or per day. Usage rate, drawn from prep history, is the main input for adjusting pars.
Walk-in
The walk-in refrigerator or freezer where most bulk and prepped product is stored. Counts are usually organized to follow the physical layout of the walk-in.
Waste log
A record of prepped product discarded because it expired, was over prepped, or was mishandled. Waste logs reveal which items carry pars that are too high.

Questions people ask

What is the difference between a prep list and a prep sheet?

In most kitchens the terms overlap. A prep sheet is the document or screen where pars and counts are recorded, and a prep list is the resulting set of items and quantities to make today. Some teams use one word for both, which is fine as long as everyone knows where the pars live and where the day's tasks live.

How do you calculate how much to prep each day?

Subtract the on-hand count from the par level for each item to get the prep gap, then convert that gap into batches using the recipe's real yield and the item's batch rules. Items with a zero or negative gap are skipped. The count has to be accurate and taken at a consistent time for the math to hold.

Should every item in the kitchen have a par level?

Every item that is prepped ahead and carried over should have one. Items that are always made fresh to order or prepped in full each day do not need a par so much as a fixed daily quantity. Raw ingredients are usually managed through ordering pars, which are related but separate from prep pars.

How do you set a par level for a new menu item?

Start with an estimate based on a comparable item, the expected sales mix, and the new item's shelf life, then treat the first two to three weeks as a test. Count carefully, note leftovers and 86s, and adjust the par once a clear pattern appears. Expect the first number to be wrong and plan to revise it.

What time of day should the prep count happen?

At close is typically best, because quantities are stable and the count reflects everything used during service. A morning count works if nothing is used between counting and prepping. The key is a fixed time and a fixed person or role, so the method does not drift from night to night.

How do recipe yields affect prep quantities?

The prep gap tells you how much you need; the yield tells you how many batches produce it. If real yields differ from the recipe card, a whole batch may overshoot or undershoot the gap. Measuring yields once and recording them lets the list show batch counts instead of leaving arithmetic to the cook.

What causes a kitchen to over prep?

Common causes are pars set for the busiest day and applied every day, counts that miss carryover, batch rules that always round up regardless of shelf life, and cooks prepping from memory rather than from the list. Each has a different fix, so diagnosing the cause per item matters more than a blanket instruction to prep less.

What causes a kitchen to run out of prepped items during service?

Usually pars that are too low for that day type, counts that were padded or taken before the rush, yields that fall short of the recipe, or an item that was on the list but never got made. Reviewing 86s against the prep list and count for that day points to which one it was.

How do you organize prep by station?

Group tasks by the station that uses the item during service, then sequence by lead time so long items start first and fresh items start last. Space out tasks that compete for the same equipment. Give each task an owner and a way to mark it done so handoffs between shifts are explicit.

How can a prep list run without the chef or manager present?

Write down everything that normally lives in the chef's head: pars per day type, units, batch rules, station assignments, sequencing, and where each item is stored. Keep it in one place the team can access. If a competent lead can run the morning from the document alone, the system is complete.

How often should par levels be reviewed?

Review a few items every week using prep history, and do a fuller pass when the menu changes, a season shifts, or volume moves noticeably. Change one par at a time and watch about two weeks of counts before adjusting again, so a single unusual day does not swing the number.

Why do paper prep sheets and spreadsheets stop working as a kitchen grows?

They struggle with handoffs and access. A clipboard is visible only to whoever holds it, and a spreadsheet is fragile when several people edit it or when it is printed and marked up by hand. Both also make it slow to review history, so pars stop getting tuned. For a single shift with a manager on site, they remain perfectly workable.

What should a prep cook do when a recipe does not scale cleanly?

Follow the batch rule written for that item. Items that do not scale, such as those limited by pot or mixer capacity, are usually made in whole batches and the rule says whether to round up or down. If no rule exists, the cook should ask rather than guess, and the answer should be added to the list for next time.

How do you handle prep for catering or private events on top of normal pars?

Treat the event as a separate line on the prep list with its own quantities, rather than raising the regular pars. That keeps the regular pars honest for tuning and makes it obvious what the event required. After the event, the extra line disappears and the normal numbers continue.
